We informed her that we were actually more interested in that property, but if it would be months before it became available, we would proceed with the current home. After submitting all of our paperwork, communication became nearly impossible. Simple follow-ups that should have taken a day or two stretched into weeks because we could not get responses. Calls went to voicemail, texts were unanswered, and emails were ignored. Calling the office only resulted in being routed back to the same voicemail. Two weeks later, with still no meaningful update, we saw the neighboring property, the one we had clearly expressed stronger interest in from day one, listed on the market. I immediately tried to contact the agent but could not reach her. When I finally did connect with her, she informed us we were approved for the original house. I told her we wanted to transfer our application to the newly listed property instead. Unfortunately, there were further delays. While she “worked on” transferring our application, another renter submitted theirs and, in her words, “got in front of us.” This was despite the fact that we had made our preference clear from the very beginning. We scheduled an additional showing of the new property. The agent gave us a confirmed time, but when we arrived, she was showing the home to another couple and claimed she was unaware we were coming. At that showing, I again expressed strong interest and asked her to ensure our application had been properly transferred. Over the following days, she requested additional information, which I provided immediately. Nearly a week later, our application was finally transferred, without any direct communication from her. We only received an automated email confirmation. Throughout the entire process, I attempted to call, text, and email dozens of times and rarely received a response. A week later, I noticed the property was marked as closed on their website. We never received a call or email informing us that we did not get the property. When I reached out for clarification, I received an automated text stating that I had been removed from their communications and could not contact them further. The lack of communication and professionalism was beyond disappointing. It ultimately cost us what would have been our dream home. I am genuinely surprised by the high Google rating, as Yelp and BBB reviews reflect many similar complaints, primarily centered around poor communication and unprofessional conduct. If you are a homeowner looking for property management representation, I would strongly encourage you to carefully consider your options. Orange County has many highly reputable management companies, and based on this experience, this was not one of them. If you are part of the company’s leadership, I sincerely hope you take feedback like this seriously. Communication and transparency are fundamental in property management, and this experience fell far short of what renters of higher end properties should reasonably expect.

Negative experience: If this is about the slider to the patio, we’ve had two people come over and take measurements over the past several months and nothing‘s been done. When I spoke to somebody in your office a few weeks ago, they said the ticket had been closed, but they were going to reopen it and let me know. I’ve still heard nothing. The person who fixed our showerhead the other day was one of the people who took measurements and he was even shocked that nothing had been done yet. Attached is a picture show what it looks like with the screen closed as much as it can be and the glass door closed. You can see how big the gap is, and with the glass door open, you can see that it’s even a bigger gap that the screen slider cannot stay closed. Can you please let us know what’s going on with fixing the slider. I’m under the impression that the parts were ordered sometime ago.

I caught the mistake immediately, well before the rent due date, and contacted Utopia to cancel the charge while it was still pending. Despite acting quickly and in good faith, Utopia refused to reverse or credit the fee, even though their own staff originally said a full refund could be issued. They later backtracked and offered to refund only the rent portion l?? not the very fee I was disputing. They claimed they had no control because it was "AppFolio's policy," yet also refused to apply a rent credit, which they absolutely have the authority to do. The lack of accountability between Utopia and AppFolio is deeply concerning. This is not how you treat tenants. Hiding behind fine print and policies while leaving someone with an unnecessary $65 charge is just bad Transparency and fairness are clearly not Utopia's priority.
